Electronic artwork submission requirements

To ensure quality and consistency in competition entries, participants need to follow a standard format. The technical and formal requirements are detailed below:
1. Accepted formats
- Vector: Vector format is recommended for final work because it scales without losing quality. Accepted formats are:
- .AI (Adobe Illustrator)
- .EPS (Encapsulated PostScript)
- .SVG (Scalable Vector Graphics)
- Other formats: Participants using other graphics software, such as CorelDRAW, must export their work to one of the accepted vector formats: .AI, .EPS or .SVG.
2. Dimensions and scalability
- Vector: Vector files must be fully scalable without loss of quality. All design elements must be vectorised, with no raster images embedded in the design.
3. Colours and palette
- Colour model: Participants may work in any colour model: CMYK is used for print, and RGB for digital use. Providing both versions is optional.
- Monochrome versions: Each design may have a black-and-white version retaining the legibility and clarity of its elements in print and at small sizes.
- Maximum number of colours: Entries may use up to 5 colours plus white and black, excluding shades of grey in monochrome work, to keep designs simple and usable across print and digital media.
- Palette: Use colours symbolic or traditional to the locality where these exist. Combinations should be harmonious and provide enough contrast for visual clarity.
4. Graphic structure and composition
- Visual clarity: Entries must be recognisable and memorable even at small sizes. Avoid overloading the design with complex details that become illegible when reduced.
- Vector elements: All shapes, lines and design elements must be fully vectorised. Avoid bitmap images and textures that could lose quality when scaled.
- Avoid complex gradients: Gradients can cause printing difficulties, so avoid complex gradients where possible. Designs should also work without shading, reflections or other effects that may be difficult to print.
5. Typography
- Fonts and lettering: If a design includes text, use legible fonts and convert all text to outlines, avoiding font-compatibility problems on other devices.
- Accepted fonts: Fonts must be clear and reflect the design's theme. Simple, modern fonts are recommended; traditional or historical fonts may suit the locality's identity in the right context.
- Text size: Text must remain visible and easy to read at small sizes, for example 1.5–2 cm in height. All letters must be clear and retain the correct proportions when scaled.
6. Other technical requirements
- No complex backgrounds: Avoid backgrounds that distract from the main design. Keep the design clear and focused on its key elements.
- No watermarks or personal logos: Participants must not put personal logos, watermarks or other identifying elements on their designs.
- Margins and safe areas: Allow a safe margin of at least 2–5 mm around the entire composition to ensure correct printing without cutting off important elements.
7. Presenting entries
- Main file: Deliver the final file in the specified vector or bitmap format, meeting the resolution and size requirements.
- Mock-ups: It is recommended, but not compulsory, to include mock-ups showing the design in real contexts: posters, signs, equipment or promotional materials, for example.
- Design description: Each participant must provide a short description of 100–300 words explaining the concept, symbols used and their relevance to the competition's theme.
- Final versions: Supply at least two versions:
- Full colour.
- Monochrome (black and white).
8. Copyright and intellectual property
- Originality: All submitted work must be original and created exclusively by the participant. Work infringing copyright or containing copied elements will be disqualified.
- Licence: Winners must accept that their work will be used in the public domain and made available without commercial or non-commercial restrictions, under the competition rules.
- Required documents: Participants must complete a form assigning copyright in prize-winning work to the organisers.
Conclusions
These technical and formal requirements support the quality, usability and originality of submitted work. The intended format emphasises clarity, versatility and professional design standards.
